JOB OUTLINE
A well-known and respected service company, in the Southern Kentucky and Northern Tennessee area, is looking for a versatile, highly organized Office Manager, who is comfortable in working in a business environment with a significant amount of autotomy and decision-making responsibility. Strong customer service experience a must. Responsibilities include but not limited to: interfacing with operations and sales staff and managing the administrative functions of the office, human resource responsibilities. Ideal candidates will have at least 5-7 years office and administration management experience. Experience and knowledge of various software is required, along with being proficient in using MS Excel and Word. Proven prior management and leadership responsibilities are also an important and critical requirement for this position. Some basic Human Resource responsibilities are also included in this very critical position. This position requires a dependable person with uncompromising integrity, strong attention to detail, warm customer service manner, and the ability to work in a fast-paced environment and thrives on a culture of self-accountability. This is an AT WILL position.
ESSENTIAL FUNCTIONS OF THE POSITION
● Perform a variety of administrative duties, such as generating and distributing memos, letters, spreadsheets, forms, and faxes
● Sorting and distributing incoming mail
● Maintain client databases
● Assist in copying and distributing production orders and other internal documents as requested
● Update spreadsheets used by production and field services as requested
ABILITIES
● Work on-call, as needed
● Time management, teamwork, multi-tasking, strong attention to detail and ability to work in a fast-paced environment
● Develop and implement policies and procedures for the Company
● Manage crises as they occur
● Communicate clearly and concisely, both orally and in writing; must be proficient in reading and writing the English language
● Apply established Company policies and procedures, including safety procedures and principles
● Proven administrative experience
● Superb written and verbal communication skills
● Strong time-management skills and multitasking ability
● Proficient in Microsoft Office, with aptitude to learn new software and systems
● Solid interpersonal skills
EXPERIENCE AND TRAINING/EDUCATION GUIDELINES
Any combination of experience and education that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:
● Five + years Management industry experience
● College Degree in Business Administration
● Possession of valid state driver’s license
● Applicability industrial certifications preferred
● Basic principles and practices of organization and administration
● Modern office practices and technology, along with appropriate phone skills and resolution of customer complaints and issues
● Industry software
● Professional ethics restoration industry language, practices, and terminology; ability to seek out knowledge if new to the industry
● Pertinent federal, state, and local laws, codes and regulations that govern the areas of the position
● OSHA safety regulations as they pertain to the restoration industry; maintain an active role in monitoring the safety of yourself and other team members
● Previous experience and success in office management
● Experience developing internal process and filing systems
● Comfortable handling confidential information
● Ability to adapt to changing situations in a calm and professional manner
● Proven administration experience
● Superb written and verbal communication skills
● Strong time-management skills and multitasking ability
● Proficient in Microsoft Office, with aptitude to learn new software and systems

WORKING CONDITIONS
Employee may be in all types of weather conditions and in an office environment

- 8 hour shift
- Monday to Friday
- On call

Compensación: $50,000.00 - $60,000.00 per year
